Introduction
Welcome to the 4th edition of Tsomgo Ultra. This document contains important details with respect to fourth edition of Tsomgo Ultra to be held on 9 March 2025, Sunday. Please carefully go through the content carefully.
Timings
The important timings pertaining to the Tsomgo Ultra 4.0 are as given below :-

Note. For differently abled participants there is a relaxation on the cut off timing at the discretion of the race officials which cannot be greater than the maximum cut off applicable. Such participants can only register for 10 KM and 21 KM event and not 42 KM and 75 KM. The participation of differently abled individuals will be at the discretion of the race officials
Registration
Registration for 10 KM is open for the all the running enthusiast. However, for other categories please submit the timing certificate for qualification criteria in the last 18 months preceding the race day(9 March 2025) ie. on or before 9 September 2023. The timings should be for an event conducted at an On Ground event only:

Failing to submit the requisite documents will lead to cancellation of the participant’s registration with the applicability of refund policy for registration fees as mentioned in rules and regulation. Minors can participate in 10 KM run after the consent of their legal parents with submission of undertaking as given in Annexure 1. Failing to submit the Annexure 1, will lead to cancellation of registration without refund of registration fees.

Refund
The refund policy for the Tsomgo Ultra is as given below :-
- Cancellation till 05 January 2025 – Full refund
- Cancellation from 06 – 31 January 2025 – 75 % refund
- Cancellation from 01 – 18 February 2025 – 50 % refund
- Cancellation from 19 – 29 February 2025. – 25 % refund
- No refund for any cancellation after 01 March 2025

Prize Money Structure & Rules
The prize money for the Tsomgo Ultra 4.0 will be declared subsequently in our official Facebook, Instagram and website. Terms and conditions will apply to all prize money. All prizes are subject to tax deduction at source and can only be collected post submission of PAN and Aadhar details.
The prize money will be governed by certain rules as given below :-
- The winners announced at the venue after the event is provisional. This is subject to change.
- Finish positions of participants will be based on respective BIB tag timing captured across all timing points on the course, including at the start and finish mats, and physical verification by technical officials.
- Race results announced on race day will be ‘provisional’. Final results and entitlement to prize money shall be subject to the rules mentioned herein.
- If there is tie in any number of runners for any podium position in such case the prize money will be equally distributed among the tied runners.
- There can be cases wherein “age category participants” will finish in podium for an open category. In such case the “age category participants” will be considered for open category and he/she needs to forego the podium position of age category.
- Declared winners may be required to submit further proof of identity/ age, as may be required by the organizer, for disbursement of prize money, failing which the organizer may, at their sole discretion, withhold disbursement or disqualify the said participant from competition. Prize money will be disbursed only after the verification of documents submitted by the winners, settlement of protests & appeals filed by participants and various other confidential process of the organizers.
- Disbursement of prize money to the winners may take up to six months.
- Prize money is subject to Indian Income Tax Rules, and the same would be borne by the winner.
BIB Collection and Race Briefing
BIB collection will be held on a day prior to the race day. The venue and the time will be updated on our official website, Facebook and Instagram pages. On the day of BIB collection, it is mandatory for 75 KM participants to submit the UNDERTAKING FORM, if any 75 KM participant refuses to sign the undertaking form the organiser reserve the right to cancel the participants registration without refund of the registration fee. Participants of 10 KM and 36 KM events agree to all the rules and regulation when they register for the event. UNDERTAKING FORM is attached at Annexure 1. If participant refuses to sign the UNDERTAKING FORM the organizers reserve the right to cancel the participants registration. He/ she will not be refunded the registration fees for the same.
The colour of your BIB indicates the race category you are participating in. The race distance will be mentioned on your BIB. Entire BIB must be clearly visible all the time and secured at all corners with safety pins provided to you. You cannot cut or alter the BIB in any way.
The briefing for the race will be held on the day of the BIB collection. All the rules and regulation will be informed to the participants during the briefing. Queries of the participants will also be clarified. The timing of the briefing will be informed subsequently on official website, Facebook and Instagram pages.
The organizers reserve the right to change the venue and timing for race briefing. The same will be updated on our official Facebook and Instagram pages.
Event Venue
- Start Point. The general area of start-point for Tsomgo Ultra 4.0 will be informed subsequently on our official website, Facebook and Instagram pages. On the race day assemble at the holding area established at the start-point at least 30 minutes prior to start time of the race. Following facilities will be available at the event venue:-
- Physio corner
- Refreshment
- Toilet
- Bag handling area
- Getting There. Pick and drop facility by bus will be provided from Gangtok to the Start Point for runners participating in 75 KM and 36 KM race. The time and pick-up point will be updated on our official website, Facebook and Instagram pages. Reaching the pick-up point 10 minutes prior to the departure time of the bus will be the responsibility of the participants.
- Car Parking. Limited No of public paid parking is available at the venue on first come first serve basis. Parking is at your own risk. Organizers are not responsible in any manner for theft or damage to vehicles or their contents.
- Bag drop Counters. All athletes can store ONE BAG only at the designated baggage counter. You will be given a baggage tag which needs to be attached to your bag. The tag will bear your BIB number. Please provide your BIB number at the time of bag retrieval. DO NOT leave any valuables in the bag stored at the baggage counter.
In preparation for race day
A quick checklist for the participants is as given below: –
- Read this rules and regulations carefully.
- Tsomgo is located at an altitude of 3,753 m. It is advisable to acclimatize yourself before the race day.
- All the 75 KM runners please ensure that you are carrying the portable oxygen cylinder.
- Confirm that your medical/ health insurance is up to date and valid.
- Confirm that your emergency contact person (as given by you in the application form) is available and easily reachable on race day in case of any emergency.
- Check the weather forecast to plan on appropriate running clothing and equipment.
- Familiarize yourself with the course.
Changes to the Route and Cancellation of the Race
The organizers reserve the right, at any time and without prior notice, to make changes to the route and checkpoints/ water station points. In the event of adverse weather conditions and/or for safety reasons and/or any other unforeseen circumstances, the race may be postponed or delayed or modified or suspended.
Race Day Emergencies
Medical aid will be made available in case of emergencies. You must stop running the race immediately if instructed to do so by a member of the medical crew – this is in the interest of your health and safety. For any assistance or to report a medical or any other emergency you may observe on race day, reach out to the event volunteer closest to you. We look forward to your cooperation and assistance in making this event a safe and enjoyable one for all.
Refreshments
Refreshments will be available post your run at the Finish Area. You will need to show your BIB number to the volunteers for them to handover the refreshment packet to you. Breakfast and lunch for the 75 KM participants will be provided enroute on showing the BIB number.
Finisher Medal
Your medal will be given to you by organisers soon after you cross the finish line on foot within stipulated time.
Post race
Race Results and e-Certificates
The race results will be updated on the Facebook, Instagram and official event website after 2-3 days. E-certificates will only be issued to those participants who cross the finish line in stipulated time. Please note, physical timing certificates will not be posted to you. The link for download of e-certificates will be available in our official Website, Facebook and Instagram page within 21 working days after race day.
Protests and Appeals
Any confirmed participant can lodge a protest pertaining to the run. Complaints, especially on the podium finishers, must be made in writing with sufficient proof and should be submitted to the race organizers in writing or emailed on the official mail id of the organizers within 2 days of the event. No protest will be entertained after two days of the event. Any online or social media protest will not be entertained.
The organizers shall deliberate, verify and deliver their decision on the protest within 7 working days of receiving the protest letter. The decision will be intimated to the person lodging the protest. Decision of the organizers shall be final and binding on all.
Participant’s responsibilities
- Runners must understand the unique nature and requirements of competing in an ultra-long distance road race. They must have undertaken the necessary training to compete to be able to deal with extreme fatigue, digestive/ internal organ problems, muscle pain, mild physical injuries, psychological problems, and other discomforts during the race.
- Race will begin in the dark of early morning and will be operational for several hours. Hence, runners should be self-reliant and will be responsible for their own safety by having the ability and skills to self-diagnose and deal with any problems that may be encountered during a race of this nature.
- Runners must be able to deal with, without any external assistance, deteriorating weather conditions (e.g., rain, snowfall, extreme cold conditions, lack of oxygen, strong winds, hot, dry and humid weather) and other unforeseen circumstances that may arise while the race is in progress.
- Runners who accept assistance and support from any person who is not an official race organizer may be disqualified.
- Runners should run on the official race course. In case a runner gets lost, he/she should go back to the proper course. In no case shall the distance outside the race course be considered valid.
- In the event of a runner assisting another runner who needs emergency aid, he/she must inform the nearest aid station or race organizers for medical assistance.
- Runners are responsible to ensure they pass all the time checkpoints. List will be announced during the briefing and signage will be in place. Failure to do so would mean time penalty and/or disqualification.
DNF [Did not finish] procedures
- Runners not finishing the run in the stipulated intermediate and final cut off time will be considered as DNF.
- Runners who decide to pull out or discontinue voluntarily will also be considered as DNF. They must proceed to the nearest checkpoint.
- Runners disqualified by the organizers on account of violating the norms of the race.
Disqualification or Time Penalization
Participants may be disqualified or penalized at any time during the race for the following reasons:
- Taking shortcuts and/or running off the trails.
- Throwing garbage onto the course.
- Receiving outside support at other than the stipulated aid stations.
- Running with people who are not officially registered in the race as racers.
- Cheating (e.g., using other means of transportation, using substitute runners, and other unlawful actions).
- Not abiding by the instructions given by official race staff including doctors, nurses, and emergency staff.
- Doping and the use of prohibited drugs.
- Not wearing or non-visibility of running BIB.
- Use of trekking poles is prohibited.

- Have given willingly the true and complete information in the application form and am solely responsible for the accuracy of this information.
- Have fully understood the risk of participating on a course with vehicular traffic, even if the course may be regulated/policed. I have also read and understood the responsibility of participating in the Tsomgo Ultra 2025 as given in handbook which is published in official social media page and website of Tsomgo Ultra.
- Further, I have understood the format of the race and shall abide by the rules and regulations set by the organisers.
- For myself and our legal representative, waive all claims of whatsoever nature against the organisers, officials and volunteers, and all other persons and entities associated with the event or any of the aforementioned including, but not limited to, any claims that might result from me participating in the event and whether on account of illness, injury, death or otherwise.
- Agree that if I am injured or taken ill or otherwise suffer any detriment whatsoever, I hereby irrevocably authorize the event officials and organizers to, at my risk and cost, transport me to a medical facility and/or to administer emergency medical treatment and I waive all claims that might result from such transport and/or treatment or delay or deficiency therein. I shall pay or reimburse to the organisers; my medical and emergency expenses and I hereby authorize the organisers to incur the same.
- Understand that I must be of, and must train to, an appropriate level of fitness to participate in such a physically demanding event and I / my ward have obtained a medical clearance from a registered medical practitioner, allowing me to participate in the event. Shall provide to the organizers such medical data relating to me as they may request. I agree that nothing herein shall oblige the organizers or any other person to incur any expense or to provide any transport or treatment.
- In case of any illness or injury or health issues caused to me at any time as a result of this event, due to any medical reasons or medical condition (regardless or not whether such medical reasons or condition shall have been pre-existing conditions known by me and further regardless of whether I shall have disclosed the existence of such reason or condition to any person) or due to any force majeure event including but not limited to fire, riots or other civil disturbances, earthquakes, rains, snowfall, landslides, storms, typhoons or any terrorist act, none of the sponsors of the event or any political entity or authorities and officials or any of the organisers, officials or volunteers or any persons or entities associated with the event or representatives of all or any of the aforementioned shall be held liable by me/my ward or my/my ward’s representatives.
- Understand, agree and irrevocably permit the organisers to share the information given by me with all/any entities associated with this event, at its own discretion.
- I expressly forego my image rights. I undertake not to take any action against the organizers and sponsors for the photos taken in the event venue and / or participating in the race. I understand, agree and irrevocably permit myself to be photographed / recorded by electronic and print mediums for telecast / publication/ promoting such of kind of events in the future and other display usage by the organizers or its organising partners, at its own discretion. I understand and agree that these rights belong to the race organizers and title sponsor and may be used for these purposes by them or entities authorized by them.
- Shall not hold the organizers and all/any of the event sponsors responsible for loss of my/his/her application form and/or application fee in transit.
- By registering for the event, I do agree to receive information and offers of various brands/ products/ services/ initiative as may be sent to me by the event promoters (or a person duly authorized by the promoters) on the email address/ phone No given by me in this application form.
I have carefully read the Runners Handbook which contains all the guidelines, rules, regulations and other information pertaining to the Tsomgo Ultra 4.0.
